Rescheduling a BCSA league game

Game change overview:
A game change consists of a cancellation and a rescheduling.  It's very important to follow the procedure below to ensure your change is done completely in all systems for the home team, away team, BCSA league, referee association, and Town Of Union field scheduling.  Home and away games can't be swapped.

 - During free change period:
Make sure all games will have player and coaching coverage.  This is the best time to make the bulk of your season changes.  If changes are needed follow the instructions below.

 - After free change period:
Each team can make up to 3 schedule changes without fines provided they are more than 2 weeks before game date and start time. 

Don’t wait to cancel a game until you know of a reschedule date.  Cancel the game as soon as you know there is a conflict which will buy you time to work out the details of the reschedule.


Game change email communication format:
There must be 1 email for each 1 change request, with both home and away coach/manager copied.
The subject line should have the game number, the age and gender team and the team color (if applicable) only.
The body should contain from and to dates and times, preferably with day of week spelled out.  (Believe it or not this has saved many issues in the past where the day-of-week and numeric date don't line up because of a number type-o)
IE:    Subject:  #712  u10b  Blue        Body:  From Saturday 8/18 1:00pm  To Sunday 9/2 3:00pm

 

Game change procedure (including rainout reschedules)
                AWAY games:

· Contact the opposing coach to determine a date.
 

                HOME games:

· Contact opposing coach and pick a tentative date. 

· Once a time is agreed upon contact the MESC field coordinator to make sure the field is available:  mescfacilitycoordinator@gmail.com   Should the field be available you are committing at this point.

· Once the field is determined to be available the field coordinator will email:
      - BCSA League coordinator
      - BCSA Age group coordinator
      - Both home and away coaches. 
The league coordinator will change the fall or spring master schedule and reply by email confirming the change.

 

              BOTH away and home games during and after the free change period:

· Verify that your change went live in the master schedule on the BCSA website.  A few cases in past seasons did not, resulting in no referees for the game.
· It's very important to write 1 email per game change.  In the subject line have at least the game number, age group and gender.

· Bad weather - A field will be determined to be unplayable by 8pm the evening before the next day's games.  If the field is not closed by then, both teams must show up and only the referee can decide that the field isn't playable.  Reschedule as defined above.
