Registration procedure:

Important:
In the fall of each year, starting on 9/1 and after you must wipe out last year's players and import currently signed up players.  For winter and spring and summer tournaments you are adding players to an existing soccer year, not removing the old.

In GotSport:  (Everything in this section is done in the Club Management area of GotSport)
[Do this in fall only]

* Club Management - Players - Show 1000 per page, select all - Bulk Actions - Archive
* Club Management - Teams - Create all teams as Recreational
* Club Management - Teams - Create a u19 Competitive team "Coaching Pass Printing"
* Club Management - Dashboard - Top nav Registration - 
    - Register the rec teams in the appropriate area (IE "24/25 - NYSWYSA Registration Event - Recreational Rosters")  Do this by checkmarking the team, then at the very top of the page access drop down to commit.
    - Register coaching pass printing teams in area IE "24/25 - NYSWYSA Registration Event - Competitive Cards & Rosters"

Now in Demosphere: You are creating a player import file to be used later in GotSport.
[Do this in all seasons]
* Navigate to the Fall season, then Registration / Rosters.
* Select the overall season from the tree, not an individual team.
* In the top pane use the Export icon, save list as a Comma Separated Value (CSV) file type.
* Manage this file, splitting the both the player name and parent name into discrete columns.  "Last, First" can't be imported into GotSport.
* Paste your list of registered players into the GotSport player import template CSV file.

 

Again in GotSport:  (Everything in this section is done in the Club Management area of GotSport)
[Do this in all seasons]

* Club Management - Players - Upload Players (affiliation USYS, choose file, upload)  You must use the bulk import on a comma-separated-value spreadsheet template and save as a .CSV file.  (A TSV file won't work).  [DO NOT DO THIS: If you (intuitively) search by individual players and register them many extra steps including action by parents become involved.]
* Club Management - Players - Show 1000 per page, select all - Bulk Actions - Register [This incurs a fee billed to the club]  At the time of this writing the Register button doesn't appear until you check at least one player.
* Club Management - Players - Any player that doesn't show with an orange or green pad lock icon - Click on their name - Documents - Click the age Verify button.
* Club Management - Roster Builder - Select an event or roster season - "24/25 - NYSWYSA Registration Event - Recreational Rosters" -  Select one team at a time to build. (You don't have to do this, but without only 1 team selected the following process is error prone.  You will repeat this process once for every team roster you will build)
* Filter your player list by Gender and Age Group.
* In the selection pane to the left check all players from the list that you want on the team.
* In the team pane to the right press button Add To Team.
* In the selection pane to the left click the Coach tab.
* Check all coaches from the list that you want on the team.
* In the team pane to the right press button Add To Team.
* Again the team pane, press the green check mark icon to accept these additions onto the team.
* Fix any errors for individual people that are reported.
* Export a roster by using the TOP Actions drop down (not within the team next to the green check icon, the one at the top) and choose Download Rosters PDF.

Team configurations and notes:

Spring & Fall BCSA League:

 - Only enter 1 u8 team into the BCSA league regardless of how many teams are actually playing.  Rosters need not be created or printed for BCSA u8.

- u10 & u12 enter the number of teams needed for the BCSA league.  Each age group and gender can share 1 unlimited roster.  (A roster for all u10b teams, another for u10g and so on)  These teams are rostered as "Broome County Soccer Association (RECREATIONAL)"

 - u14 and higher are rostered in the "Broome County Soccer Association (TRAVEL)" league and participate in the "TRAVEL" level which allows for player pass creation.  


Tournament Rosters:
When a player is registered per year with NYSWYSA there is an $12.50 fee incurred.  When you print a player pass there is another $10.00 fee.  You can then put any combinations of players on zero, one, or multiple tournament rosters without being charged anything else.  If your tournament does not require players passes, don't print them and save the money - you can still put players on the roster without them.
